How to set up rules in Outlook 365 online?
To set up rules in Outlook 365 online (New Outlook on Web):
- Go to Settings (gear icon) > View all Outlook settings.
- Click Rules > Add new rule.
- Name the rule, set a condition, and define an action.
- Click Save.
Okay, so you wanna set up some rules in Outlook 365 online, huh? Specifically, the new Outlook on the web? Alright, let me walk you through it. I remember the first time I tried to do this, I felt like I was navigating a maze! Hopefully, this will make it a little easier for you.
Here’s how I usually do it:
-
First things first, gotta get to the settings. Look for that little gear icon in the top right corner – that’s your gateway! Click on it, and then at the very bottom of that little pop-up menu, you should see “View all Outlook settings.” Click that bad boy. It’s kinda hidden, isn’t it? I always wonder why they don’t just make it bigger!
-
Rules are where the magic happens! In the settings window that pops up, you’ll see a bunch of options on the left side. Find “Rules” and give it a click. And, of course, what do we want to do? We want to create a new rule, so hit that “+ Add new rule” button.
-
Now for the fun part! This is where you tell Outlook exactly what you want it to do.
- Name your rule: Give it a descriptive name so you know what it’s for later. Something like “Move Newsletters” or “Forward emails from Mom” you know, something that makes sense to you. No point in naming it “Rule 1” and then forgetting what it even does, right?
- Set a condition: This is the “IF” part of the rule. “IF the email is from…” or “IF the subject contains…” or “IF the email was sent to…”, you know? You get the picture. For example, I have a rule that if an email comes from “[email protected],” it automatically gets moved to my “Promotions” folder. I mean, saves me so much time!
- Define an action: Okay, so if the condition is met, THEN what do you want Outlook to do? Move it to a folder? Forward it to someone? Delete it immediately (haha, maybe not that one!)? You decide!
-
Don’t forget the most important part! You put all that work in, so SAVE IT! Click that “Save” button and BAM! You’ve got yourself a shiny new Outlook rule.
And that’s it! You’re all set. Just remember to test your rules to make sure they’re working correctly. I’ve made some mistakes in the past where I accidentally set up a rule that moved everything to the wrong folder. Talk about a nightmare! So yeah, test, test, test!
